To help us keep track of how relationships are progressing during the programme, we ask all mentors and mentees to loop us into their meeting/calendar invites. This helps us see when sessions are taking place and understand where each pair is in the mentoring journey.
When you schedule your recurring meeting, please:
-
Use your preferred platform – Zoom, Microsoft Teams, or Google Meet all work.
-
Set up a recurring invite for your agreed time (for example, one hour per month or two shorter 30-minute sessions).
-
Add our shared monitoring email –
in**@***************ve.com
– to every invite.-
We will not attend your sessions. It simply allows us to see when meetings are scheduled, check in at the right times, and ensure both sides are supported.
-
-
If you reschedule or cancel a meeting, please update the calendar invite so we can keep records accurate.
Keeping us in the loop helps us identify if any pairs might need support or a nudge to reconnect, and ensures everyone gets the full value of the programme.
Recording Attendance #
We’ll occasionally ask mentors and mentees to confirm whether sessions have taken place. This is a quick check-in, not a formal report. It helps us monitor engagement and identify where extra guidance may be useful.
If you’ve missed a session or fallen behind, please communicate early, as it’s always easier to reset momentum than to rebuild it later.
Using Online Platforms #
You can choose the platform that works best for you both, but keep the following in mind:
-
Use secure and professional tools such as Zoom, Microsoft Teams, or Google Meet.
-
Avoid using personal video links or social media platforms for meetings.
-
Make sure both mentor and mentee have access to the same link each month through the recurring invite.
-
Test your camera and audio before the call to make best use of your time together.
Keeping Meetings Professional #
-
Join from a quiet, appropriate space where you can focus.
-
Keep cameras on where possible, face-to-face connection helps build trust.
-
If you need to reschedule, give at least 24 hours’ notice.
-
Avoid recording meetings/using note takers unless both parties agree.
